Job Summary:

Ensures the provision of high quality patient care, will supervise clinical staff MAs and PCRs as assigned. Assists in daily problem solving, supervision, and the development of clerical and clinical support staff. Assists in providing leadership support for clerical and clinical support staff. Ensures Medical Providers receive sufficient support and assistance. Maintains current knowledge on appropriate procedures. Will monitor supplies and order supplies, get approval from Clinic Administrator.

Essential Duties and Responsibilities:

  • Oversee the proper vitaling and appropriate documentation of routine patient intake.
  • EMR Superuser, check provider centricity schedule
  • Directs and assists other staff in need of assistance to maintain patient flow.
  • Writes the daily assignment including MA and PCR as assigned, room assignment, daily tasks for MAs, daily tasks for PCR as assigned for daily tasks and lunch schedule. Assigns lunches and lunchtime coverage to clinical and clerical staff as assigned.
  • When assigned make sure the PCR/FC staff perform and register patients appropriately and timely
  • Ensures that Medical Assistants perform and document basic patient history, treatments and administer medications appropriately. Ensures the administration of prescribed medications and treatments as directed by the provider following PCC policies and procedures.
  • Assist with VFC audits and Quarterly Metric
  • Keeps providers informed of changes in assignments or patient flow that will affect working conditions.
  • Orders medical supplies under supervision of the Clinic Administrator.
  • Functions as a liaison between Walk-In Center and Emergency Department triage desk.
  • Monitor and records quality control checks on specific medical equipment, office diagnostic tests following established protocol as directed.
  • When assigned will communicate with MA and PCR/FC as assigned for assignment and backup.
  • Monitors rooms needed by provider, coordinates the number of rooms of providers during clinic transitions between shifts. Follows room assignment guidelines.
  • Delegates work assignments to MAs and PCR/FCs as assigned as needed to even out workload and promote efficient patient flow. Monitors chart bins and room assignments, makes adjustments as necessary.
  • When assigned to clinical manager will coordinate with PCR which providers need patients registered and to monitor how many patients are waiting for registration, by provider.
  • Ensures the observance of PCC policies, procedures, and safety practices.
  • Increases employee motivation, retention, and engagement by providing ongoing coaching to staff.
  • Aids in the implementation of systems that improves patient intake, flow and patient satisfaction and provides feedback to Clinic Administrator, ensures the efficient processing of patients and smooth patient flow.
  • Monitors internal and external customer service and ensures quality customer service to all follows PCC customer service guidelines and protocols.(such as AIDET)
  • Reports to management ways in which patient care could be improved.
  • Delegates workload during downtime, ensures that front office staff is always engaged and productive.
  • Make sure employees access to portals Quest , Genesis, Vanguard, ICARE, check, MA flags MA forms / documents (Desktop)
  • Functions as expert Medical Assistant and Patient Care Rep when necessary
  • Ensures the provision of coverage for all clinical and clerical support areas when necessary.
  • Functions as troubleshooter regarding daily clinical and clerical support staff issues.
  • Provides coaching on the patient intake process and ensures compliance with regulations and clinic standards of quality patient care (i.e. HIPPA compliance, Patient Confidentiality).
  • Provides feedback on performance and assists with yearly performance evaluations.
  • Promotes teamwork within and outside of clinical area (i.e., establishes good relations between clinical and clerical areas). Focuses on enhancing patient flow and solving patient care issues.
  • Training new MAs and PCR as assigned
  • Back-up for Sterilization
  • Performs related work as assigned.

Qualifications


Basic Qualifications:

Experience/Training:

  • Graduate of a Certified Medical Assistant Program.
  • Previous clinical experience, 2-3 years preferred
  • Constantly communicates with patients, families, and other healthcare providers. Must be able to exchange accurate information in these situations.
  • 2-3 years or EMP experience preferred.
  • Proficient in MS Office Business Applications to include: Outlook, Word, PowerPoint, and Excel.

Certifications/Licenses:

  • Current Medical Assistant Certification preferred.
  • Current and valid CPR card.

Physical Demands:

  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to move around the clinic site 50% of the time.
  • Constantly operates a computer, computer printer, copy machine, and telephone.
  • Occasionally positions self to maintain exertion of physical strength to move objects of 10 pounds from one level to another.
  • Must be able to transport from one site to another.
  • Must be able to cover other shifts as necessary.
  • Required shift rotation.

Language Skills:

  • Ability to read and write proficiently using the English language.
  • Bilingual English/Spanish preferred/at some locations required.
